Our team of like-minded, community-focused Nurses, Exercise Physiologists, Psychologists, Therapy Assistants provide expert support to daily living and community access support teams inside and outside our company to ensure all-round and complete solutions in quality in home and community care.

Administration Officers play an important role in helping us manage the front and back office. As an Administration Officer, you will work with both the NDIS participants and Providence Healthcare employees. You will help the NDIS participants match a support worker and work closely with the staff members. Other responsibilities include maintaining records, creating timesheets, creating service agreements, on-boarding new clients and so on.

Primary Objectives

  • Administration Officers will be responsible for front and back office administration.
  • As an Administration Officer, they will work closely with the other staff members and the NDIS Participants.
  • Administration Officers ensure that everything  is done in accordance with the National Disability Services Standards and other relevant legislation and are active in advocating the rights of people with a disability.

Tasks and duties of an Administration Officer

  1. Front and Back-office administration
  2. Taking phone calls with potential clients
  3. Reception duties
  4. Vehicle fleet management
  5. Stock taking and ordering of supplies (Stationery, )
  6. Rostering and matching NDIS clients with support workers
  7. Printing, scanning, and photocopying
  8. Auditing and compliance
  9. Promotion and advertisement of Providence Healthcare as a business
  10. Develop service agreements and create service bookings of NDIS clients with our relevant staff members
  11. Be involved with regular meetings inhouse and promote strong team bonding and work ethic
  12. Involvement in quality assurance and incident reporting management
  13. Timesheets
  14. Invoicing in collaboration with Accountants
  15. Record keeping
  16. Interview and coordinate potential clients
  17. Signing on new NDIS clients
  18. Supporting NDIS clients in planning for and accessing the NDIS
  19. Conducting meetings with NDIS clients and their families with NDIA
  20. Be able to liaise with other funding bodies etc.

Core Requirements and Eligibility Criteria

  • Minimum Cert-IV in business/bookkeeping or relevant education background
  • Minimum 3 months experience in the similar role 
  • Proficient Microsoft office package skills, especially in using word and excel
  • Confident and agile in working in a fast-paced environment
  • Good communication skills 
  • Capable of working under pressure
  • Good people skills and flexible in working with people from diversified culture backgrounds
